What is a time card?

A time card is a record that shows the hours an employee worked during a given period — typically a day or week. It captures start time, end time, and any break taken. Employers use time cards to calculate total hours worked, process payroll accurately, and maintain compliance with labor laws.

Traditionally, time cards were physical punch cards fed into a time clock. Today, they are usually digital records captured through time tracking software, apps, or online calculators.

Paper time cards

Physical cards punched in a time clock. Still used in manufacturing and construction but increasingly replaced by digital solutions.

Digital time cards

Software-based records created by employees clocking in and out via apps, web portals, or biometric devices.

Time card vs. timesheet

A time card records only work start and end times. A timesheet goes further — linking hours to specific projects or tasks, with multiple entries per day.

Legal requirements

In the US, the FLSA requires employers to keep accurate records of hours worked for non-exempt employees for at least 2 years.

What is a time card calculator?

A time card calculator is an online tool that computes total work hours, overtime, and pay from daily time entries. You enter your start time, end time, and break duration for each day of the week — the calculator does the rest automatically.

Unlike manual calculations, a time card calculator eliminates rounding errors and ensures accurate results even for employees with irregular schedules or split shifts. It is particularly useful for managers processing weekly payroll for hourly workers.

How to use our time card calculator

  1. 1
Enter your name and select the week

Type your name in the employee name field and select the start date of the work week you want to calculate.

  2. 2
Enter start and end times for each day

For each day you worked, enter the time you started and the time you finished using the time fields. Leave a day blank if you did not work.

  3. 3
    Add your break duration

Enter the total number of break minutes for each day (e.g., 30 for a 30-minute lunch). The calculator deducts this from your total hours automatically.

  4. 4
    Set your hourly rate (optional)

Open Advanced Options and enter your hourly rate and preferred currency. This enables total pay and overtime pay calculations.

  5. 5
    Review your results and print

The weekly summary updates instantly. When ready, click Print / Save PDF to export your time card as a document.

How to calculate pay based on time cards

To calculate pay from a time card, convert total minutes worked into decimal hours, then multiply by the hourly rate. Use the table below for quick minute-to-decimal conversions.

MinutesDecimal HoursExample Pay @ $25/hr
15 min0.25 h$6.25
30 min0.50 h$12.50
45 min0.75 h$18.75
60 min1.00 h$25.00
90 min1.50 h$37.50
120 min2.00 h$50.00

The 7-Minute Rounding Rule (US FLSA)

The Fair Labor Standards Act permits rounding employee time to the nearest 15 minutes. Time between 1–7 minutes rounds down; time between 8–14 minutes rounds up.

9:06 AM
Rounds down → 9:00 AM
1–7 min past the quarter hour
9:09 AM
Rounds up → 9:15 AM
8–14 min past the quarter hour

Understanding overtime on time cards

Overtime is the time an employee works beyond their standard hours. Under the US FLSA, non-exempt employees must be paid at least 1.5× their regular hourly rate for all hours worked over 40 in a workweek.

Exempt employees

No OT

Salaried professionals, executives, and administrators earning at least $1,128/week. Not entitled to overtime pay under FLSA.

Non-exempt employees

OT Required

Hourly workers and salaried employees below the salary threshold. Must receive 1.5× pay for hours over 40/week.

Note: Overtime rules vary by country and state. Always verify requirements with your local labor authority or legal counsel.
